We are hiring a Client Success Specialist to support and execute the day-to-day operations of our Client Success department. This role is responsible for delivering a best-in-class client experience through timely communication, coaching call preparation, email marketing execution, and proactive engagement that keeps our clients supported, informed, and on track to hit their goals.

Role Overview

Coaching Call Preparation: Prep coaches for weekly coaching calls, including gathering client updates, performance data, and key discussion points (15–20 hours/week).

Email Marketing Execution: Build, manage, and optimize email marketing automations and blasts in GoHighLevel that are sent to clients, including renewal sequences, announcements, and engagement campaigns.

Onboarding Support: Assist with client onboarding tasks to ensure new clients are activated and set up for success within their first 30 days.

Feedback & Insights: Collect and organize client feedback, flag at-risk clients, and surface insights to the Director of Client Success to inform department strategy.

Process Improvement: Continuously look for ways to improve systems, templates, and workflows that enhance the client experience.

Cross-Functional Support: Collaborate with coaching, brand, sales, and operations teams to ensure a seamless and aligned client journey.

Requirements

1–3 years of experience in a client success, client support, account management, or customer-facing role.

Strong written communication skills with the ability to write clear, professional, and on-brand emails.

Experience with email marketing platforms and building email automations (GoHighLevel experience is a plus).

Coaching Call Prep Completion: 100% of coaching calls prepped and materials delivered to coaches at least 12 hours in advance.

Email Campaign Execution: All scheduled email campaigns and automations launched on time with zero errors in targeting or content.

What You'll Own

Social Media Strategy & Execution: Lead the full content strategy and execution across Instagram, Facebook, TikTok, YouTube, and LinkedIn. You'll manage two distinct content voices: Paid Ads Academy's brand voice on Facebook and LinkedIn, and Ashley's personal brand voice on Instagram, TikTok, and YouTube. You're not just filling a calendar — you're building a strategic system for each that grows the brand, drives awareness, and converts attention into clients.

Ashley's Personal Brand & Voice: Write captions, scripts, and thought leadership content that sounds exactly like Ashley, not like a social media manager guessing. You will study her, learn her patterns, and produce content that she reads and says yes, that's me. This is a skill. If you haven't done it before, this isn't the right role.

Short-Form Video Production & Editing: Clip, caption, and produce scroll-stopping short-form video for TikTok, Reels, and YouTube Shorts. Your editing standard is high-quality and on-brand.

Email List Growth & Content: Own the social-to-email pipeline. You understand that social content is the top of the funnel, not the destination. You'll create and execute content strategies that actively drive email list growth, treat it as a core KPI, and report on it alongside engagement and reach metrics.

Content at Scale with AI: You're already using AI to work smarter, not slower. You leverage AI tools to increase content volume without sacrificing quality — drafting, ideating, repurposing, and batching faster than someone who isn't. High output and high standards are not in conflict for you because you've built the systems to deliver both.

Proactivity & Speed: You don't wait for the brief. You anticipate what's needed for the brand, for Ashley, for the calendar, and you move. When a trend breaks, you're already on it. Publishing & Platform Cadence: Maintain a consistent, high-volume publishing cadence across all platforms including Instagram, TikTok, Facebook, YouTube, and LinkedIn. Frequency is guided by content strategy, platform best practices, and business priorities, not a static checklist. Content includes a strategic mix of carousels, short-form video, repurposed podcast clips, and trend-driven content. Daily outbound engagement — commenting, replying, and connecting with our ideal audience — is part of the role, not an afterthought.

Affiliate & Automation Management: Manage and maintain Ashley's affiliate storefronts (Amazon, ShopMy) and ensure all links are current, accurately tracked, and actively promoted across Instagram and TikTok. Own the ManyChat automation system, setting up comment and DM flows for challenge weeks and campaign moments, and consistently monitoring to ensure everything is running correctly and updated as needed.

Consistency On The Road When Ashley travels for events or work trips, content keeps moving. You plan ahead. The calendar doesn't go dark because she's busy. That's your job to solve before anyone has to ask.

Proven, hands-on expertise managing and growing accounts across Instagram, TikTok, Facebook, YouTube, and LinkedIn

Efficiency and expediency in getting high volume of content output while maintaining quality, relevancy, and driving organic growth

What You'll Own

Google & YouTube Coaching Delivery: Lead all Google Ads and YouTube coaching calls, virtual and in person training and client events, challenge sessions, and Q&A across all client tiers. You are the expert in the room.

Coaching Playbook Development: Maintain the Google & YouTube coaching playbook, including SOPs for Search, Shopping, PMAX, YouTube, and Display campaigns. Ensure the existing materials are up to date and include latest best practices.

Business Strategy Through Google: Coach clients on business strategy through the lens of Google advertising. You don’t just teach the platform — you teach how Google fits into their overall growth engine, their margins, their customer acquisition model.

Account Diagnosis & Optimization: Diagnose underperforming Google and YouTube accounts live on coaching calls and deliver clear, actionable optimization roadmaps. Clients walk away knowing exactly what to fix and why.

Creative Strategy: Develop and implement the creative expansion strategies and advise clients on creative best practices as it relates to conversion rate optimization.

Client Portfolio Ownership: Be immersed in client businesses by understanding their growth drivers, identifying opportunities, managing risks, facilitating ad account audits, and participating in-person VIP day strategy sessions. Cross-Platform Collaboration: Work closely with other senior coaches on cross-platform strategy. You understand the full picture and how platforms intersect.

Training & Knowledge Transfer: Record all coaching sessions and identify top teaching moments for new coach training materials. You’re building the system, not just delivering the session.

AI Data Visualization and Delegation: Communicate with, manage, and delegate work to AI employees so that you can improve speed and efficiency of optimizations by leveraging AI to aid in account implementation, operation, optimization, and visualization. Proven track record managing $250K+ in monthly Google ad spend across multiple verticals (service-based AND e-commerce/retail)

Deep understanding of YouTube advertising strategy, including pre-roll, discovery, and Shorts campaigns

Business strategy acumen — you understand how paid advertising fits into a company’s overall growth engine, not just the platform

Experience coaching, teaching, or training others on Google Ads (agency leadership, consulting, or formal coaching/training roles)

Role Mission

Own the day-to-day performance of Paid Ads Academy so the CEO can focus on vision, product, client fulfillment and demand, while the company reliably hits targets across sales, client success, marketing, coaching, events, and operations.

This is the most senior operational leader in the company. You are the integrator: the person who translates founder vision into executed reality, manages the department heads, and holds every function accountable for results. You are not here to observe, advise, or consult. You are here to run the business.

How This Role Fits Role Mission

The CEO sets the vision, builds the product, creates demand, and is the face of the brand. The CEO should not be in day-to-day operations meetings, managing department heads, or chasing follow-through across functions.

The VP of Ops is the bridge between vision and execution. You take what the CEO decides and make it happen across every department. You manage the leaders. You own the KPIs. You run the weekly leadership meeting. You are the reason the CEO can step out of 80% of internal operations and trust that the business is growing.

All functional leaders report to you: Operations, Sales, Marketing/Brand & Creative, Client Success, Ads Coaching, Events/Ops, and HR/People.  You own the entire end to end operating structure of the business achieved through the departments across the organization.

Success Outcomes (First 12 Months)

You are successful if:

The CEO’s direct reports drop from 7+ to 2–3 (VP of Ops, Finance, and potentially HR).

Every department has 3–5 KPIs with a weekly dashboard, and 80%+ of quarterly targets are hit in year 1. 90% of targets hit in year 2.

Time from “CEO idea” to “live in market” shrinks by 50%.

Decrease escalations to CEO by greater than 85%.

Leadership bench strengthens: low regrettable attrition, clear succession plans for key roles, and the right people in the right seats.

Revenue and profit targets are hit while the CEO is out of approximately 80% of internal ops meetings.

A clear operating rhythm is installed: weekly leadership meetings, monthly business reviews, quarterly planning, and annual strategic planning.

Key Responsibilities

1. Strategy to Execution

Translate CEO vision into annual and quarterly operating plans with clear owners, milestones, and deadlines.

Lead quarterly planning: set departmental goals, define key results, assign owners, and establish timelines.

Ensure every initiative has a plan, a budget, and a timeline before it launches.

Make tradeoff decisions across departments. When priorities compete, you decide what gets resourced.

2. Leadership & People Management

Directly manage functional leaders in Sales, Marketing/Brand & Creative, Client Success, Ads Coaching, Events/Ops, and HR/People.

Own hiring, coaching, and performance management of department heads. Upgrade seats when required.

Build a leadership bench: develop successors for key roles, reduce single points of failure, and increase organizational resilience.

Drive culture and accountability across teams: clear expectations, regular feedback, consistent follow-up.

Run weekly 1:1s with each department head. Know what is working, what is stuck, and what needs your intervention.

3. Cross-Channel Performance & KPIs

Own the company-wide performance dashboard. Every department has 3–5 KPIs that predict and measure success.

Lead the weekly leadership meeting: review KPIs, resolve cross-functional issues, assign decisions, and enforce follow-through.

Diagnose performance issues across the customer journey: marketing to sales handoff, sales to fulfillment, onboarding to retention, coaching to renewal.

Review daily, weekly, monthly, and quarterly performance with leaders. Identify patterns, diagnose root causes, and recommend corrective actions before they escalate.

4. Revenue & Financial Accountability

Partner with Finance to achieve revenue, operating expense and EBITDA targets, manage departmental budgets, and make resource allocation tradeoffs.

Own the operating budget. Know what each department is spending, why, and whether the ROI justifies it.

Ensure launches, challenges, and revenue-generating events are planned, budgeted, and executed with financial discipline.

Build forecasting rigor: reliable projections that the CEO and Finance can trust for decision-making.

5. CEO Force Multiplier

Act as filter and force multiplier for the CEO: protect her focus, solve problems at your level, do not push them up.

Be the person who says “I handled it” before the CEO knew it was a problem.

Ensure the CEO’s strategic decisions are translated, communicated, and executed across every department without her having to follow up.

Represent the CEO in internal meetings, vendor relationships, and operational decisions where her presence is not required.

6. Systems & Operational Infrastructure

Build and enforce simple systems and SOPs for launches, hiring, onboarding, client delivery, and events.

Partner with the Director of Ops to ensure the operating system (scorecards, meeting cadences, SOPs, tech stack) is built, maintained, and adopted.

Evaluate and approve operational tools, platforms, and process changes that impact multiple departments.

What This Role Does Not Own

To maintain clarity between executive leadership and founder-level functions:

Product vision, curriculum strategy, and coaching methodology: Owned by the CEO.

Brand voice, creative direction, and public-facing content: Owned by the CEO and Director of Brand & Creative.

AI architecture, governance, and technical roadmap: Owned by the AI Architect (reports to CEO).

Day-to-day financial operations (payroll, bookkeeping, AR/AP): Owned by the Accounting Manager, who partners closely with the VP of Ops on budgets and forecasting.

Key Metrics & Goals

First 90 Days

Complete a listening tour: 1:1s with every department head and key team members. Understand what is working, what is broken, and where the biggest leverage points are.

Audit the current operating rhythm: meeting cadences, reporting, KPIs, accountability structures. Identify what exists and what is missing.

Establish your leadership meeting cadence: weekly leadership team meeting, 1:1s with each department head, monthly business review.

Present a 90-day operational priorities plan to the CEO: here is what I found, here is what I am going to fix first, and here is the timeline.

Begin transitioning the CEO out of day-to-day operational meetings and decisions.

First 6 Months

Every department has defined KPIs, a weekly scorecard, and a clear quarterly target.

A weekly leadership meeting is running consistently with high accountability and follow-through.

At least one department head upgrade or structural change has been made where needed.

The CEO’s direct reports have been reduced and her operational meeting load has decreased by at least 50%.

Revenue and retention metrics are trending in the right direction with clear attribution to operational changes.

Qualifications

8–12+ years of operations and business leadership experience, with at least 3–5 years managing multiple managers (not just individual contributors).  

2+ years in executive leadership role in a mid-sized to large business.

Has managed across at least 3 of: sales, marketing, client success, operations, events, or people/HR.

Has owned a 6-figure P&L or hard revenue/profit targets in a digital, education, coaching, or info-product business around $5M–$20M+.

Track record of installing an operating rhythm in a founder-led company: “Before: chaos at $X. After: simple cadence, hit $Y.”

Strong operator: systems thinker, data-literate, comfortable saying “no” and holding the line.

Exceptional written and verbal communication: clear, direct, and professional.

High emotional intelligence. You can read a founder, anticipate what she needs, and move before she has to ask.

Nice To Have

Experience scaling a coaching, education, or info-product business from $5M to $20M+.

Familiarity with the online advertising education or digital marketing space.

Familiarity with alternative education business models and social selling.

Experience working alongside a visionary founder who needs an operational counterpart.

Comfort with AI tools and a perspective on how AI will change operational workflows.

What Gets Us Excited About A Candidate

A track record of building operational systems that scaled a company consistently over time, not just managing what already existed.

Founders or CEOs who can say: “This person freed me to focus on growth. I trusted them to run the business.”

The ability to hold people accountable with clarity and care. Tough conversations happen. You handle them with directness and respect.

What Tells Us It Might Not Be The Right Fit

Experience that is heavy on corporate titles but light on businesses actually scaled. We need proof, not pedigree.

Experience running something already built, maintaining the status quo.

A preference for advising over executing. This is a hands-on leadership role, not a consulting engagement.

Discomfort with ambiguity. Founder-led businesses at this stage are messy. You need to bring structure without needing everything to be clean first.

A track record of managing process but not people. This role is fundamentally about developing and holding leaders accountable.

Waiting to be asked before taking action. We need someone who initiates before it is obvious.

Communication Cadence

Daily: Morning check-in with CEO (async or 10-minute sync). Monitor Slack and operational dashboards. Be available to department heads for escalations.

Weekly: 1:1 with the CEO. Lead the weekly leadership team meeting. 1:1s with each department head. Review company scorecards with the Director of Ops.

Monthly: Lead full-team business review. Review company scorecard and project status with leadership. Present monthly ops report to CEO.

Quarterly: Lead quarterly planning and retrospective with the leadership team. Present quarterly performance review and next-quarter priorities to the CEO.

Compensation & Benefits

Base Salary: $200,000-225,000 (anchor closer to $225k if you have scaled a similar info/education/coaching business from $5M to $20M+)

Performance Bonus: 25% of base, tied to company EBITDA and 1–3 company-wide quarterly objectives (not vanity metrics)

Unlimited PTO: Flexible time off after 6 months, plus company-wide holidays

Retirement Plan: 401(k) with employer match after 6 months

Profit-Sharing 401(k): Employer-funded contributions based on tenure and other plan factors, with a 3-year vesting schedule

Wardrobe Stipend: $2,000 first-year bonus for business attire

Home Office Stipend: To create a productive remote workspace

Annual Incentive Trip: Fully-paid team trip to a bucket-list destination

Wellness Stipend: Monthly stipend for reimbursement.

Parental Leave: 12 weeks fully paid to the primary provider and 4 weeks fully paid to the secondary provider
