ACCOUNTING MANAGER
Full-Time Position near Atlanta, Ga📍
Reports to Director of Operations
We’re hiring an Accounting Manager to bring structure, consistency, and strategy to our financial operations. This is a foundational role that will own accounts receivable and payable processes, manage payroll, liaise with our bookkeeping partner, and develop key financial systems that don’t yet exist. You’ll be the go-to person for internal financial questions and the voice behind client payment communication when needed. You’re comfortable in the online business world, especially platforms like Kajabi, and you can spot a missing receipt or overdue payment a mile away. You’re also patient and professional when communicating about sensitive financial topics, whether it’s a failed payment, a payroll question, or a budgeting decision.
Key Responsibilities
Accounts Receivable (AR)
- Monitor all client payments processed through Kajabi
- Track payment defaults, initiate outreach, and manage off-cycle or manual payment resolutions
- Communicate with clients regarding failed payments, card updates, or billing issues
- Establish and maintain AR processes for all programs and coaching offers
Accounts Payable (AP)
- Set up clear, repeatable processes for vendor payments and expense tracking
- Ensure timely payment of contractors, service providers, and recurring business expenses
- Maintain proper documentation and categorization of all business expenditures
- Track affiliate performance and ensure accurate, on-time monthly partner payouts.
Payroll
- Process team and contractor payroll on a biweekly or monthly basis
- Ensure compliance with payroll tax requirements and year-end documentation (e.g., W-2s, 1099s)
- Track compensation, bonuses, reimbursements, and time reporting if applicable
- Track and organize payroll documents and forms for accuracy and complianceÂ
Financial Systems & Reporting
- Build and maintain a company-wide budget with quarterly forecasting
- Create and manage internal financial reports (e.g., revenue tracking, expense reporting, profitability)
- Identify financial insights that support strategic decision-making
- Collaborate with the team on revenue goals and cost control strategies
Financial Process Development & Optimization
- Document SOPs for key financial tasks
- Identify inefficiencies and recommend improvements to existing workflows
- Train team members on financial processes or software as needed
Vendor & Contractor Management
- Onboard and manage vendor/contractor billing and agreements
- Track open purchase orders, unpaid invoices, and outstanding balances
- Handle disputes or discrepancies in vendor invoices or service delivery
Cash Flow Monitoring
- Monitor and project cash flow on a regular basis
- Alert leadership to any upcoming cash shortfalls or concerns
- Assist in creating short- and long-term financial projections
Bookkeeping Liaison
- Be the primary point of contact for our outsourced bookkeeper
- Ensure all revenue, expenses, and reconciliations are accurately recorded
- Provide context and documentation for unusual transactions or business shifts
- Coordinate tax prep and filing documentation
Qualifications
- 5+ years in an accounting, bookkeeping, or financial operations role
- Experience managing AR/AP and payroll (Gusto, QuickBooks Payroll, ADP, Paychex, or similar tools)
- Familiarity with Kajabi, Stripe, or online course platforms preferred
- High attention to detail and strong organizational skills
- Excellent communication skills, especially around financial policies and follow-up
- Ability to build new systems with little handholding
- Must be a licensed CPA (Certified Public Accountant)

Nice to Have
- Experience in a coaching or digital course business
- Working knowledge of budgeting, forecasting, and cash flow planning reports and tools
- Familiarity with project management tools
- Familiarity with AirTable
Location and Schedule:
- Remote position based in Atlanta (within a 1-2 hour drive of the city)
- The Accounting Manager must be available for scheduled on-site meetings with the CEO and Founder as necessary to support business and financial oversight.
- Standard work hours are Monday-Friday, 9am-5pm EST, however we offer great flexibility
Compensation:Â
- $80,000-$110,000 annual salary with exponential growth potential
